Introduction to role

Are you ready to dive into a dynamic environment where your organizational skills can shine? As a Business Unit Assistant (BUA), you'll play a pivotal role in supporting the coordination and documentation of marketing, promotional, and medical events within our therapeutic areas. This position is your chance to be the backbone of our BioPharmaceuticals Business Unit, providing operative and administrative support while serving as a mutual backup for your peers and the Receptionist/Office Assistant when needed.

Accountabilities

  • Support organization of marketing and medical events with project initiator and external agencies/service providers
  • Collect data/documentation for vendor opening/change, PO creation, invoice tracking, and coordinate payment issues with agency/service providers and Finance
  • Track accommodation and travel for healthcare professionals
  • Manage documentation for marketing, medical, and sales events with project initiator, aligned to SOPs
  • Review and control documentation after organizing events, ensuring completeness, accuracy, payment confirmation, and event closure
  • Assist in adaptation and localization of promotional materials and content
  • Prepare donation and sponsorship agreements with project initiator
  • Use Veeva PromoMats, Veeva CRM Meetings, and SAP functionalities
  • Manage document signing and templates with DocuSign/AdobeSign or other platforms; help create, update, and optimize templates
  • Track warehouse data and disposal of promotional materials
  • Complete required trainings and remain familiar with SOPs and Working Instructions
  • Participate in internal communications activities
  • Support meeting organization and preparation of meeting materials
  • Maintain document and data records; prepare reports and overviews as needed
  • Scan, print, and archive documentation
  • Provide additional operative and administrative support as needed
  • Administrative support to Line Manager for management/SMT duties

Essential Skills/Experience

  • At least two years of experience in administrative related jobs
  • Bachelor's degree
  • Computer knowledge (proficient user of MS Office – Outlook, Excel, Word, PPT; Internet), quick to adapt to new software platforms and digital solutions
  • Proficiency in Serbian and English language (accent on strong written communication skills in both languages)
  • Excellent organizational and prioritization skills are essential
  • Systemic and analytical way of thinking
  • Excellent communication skills
  • Flexibility, proactivity and accountability
  • Ability to effectively collaborate with individuals and teams
  • Problem solving skills and solution orientation
  • Learning agility and willingness to learn

Desirable Skills/Experience

  • Working experience in larger business units is a plus
  • Experience working in cross-functional teams
  • Basic knowledge of / experience in the pharmaceutical industry
  • A valid driving license (B category)
